Document Controller
We are seeking a highly organized and detail-oriented Document Controller to join our project team. In this role, you will be responsible for coordinating all activities related to document control procedures, ensuring that technical documents, drawings, and commercial correspondence are meticulously tracked, updated, and maintained. You will play a key part in ensuring that the latest approved documents and drawings are available to all relevant staff, sub-contractors, and suppliers throughout the project lifecycle.
As the focal point for all document management matters, you will contribute to the smooth operation of the project by managing electronic transmittals, maintaining accurate registers, and assisting in the tracking and receipt of engineering and supplier deliverables. You will also collaborate closely with the document control team, supporting the endorsement and maintenance of the corporate content management system to ensure compliance with business continuity requirements.
Key Responsibilities
- Document Control Coordination: Coordinate all activities related to the document control procedure, including the management of technical documents, drawings, and commercial correspondence.
- Data Entry and Document Registration: Accurately input document data into standard registers and maintain updated records, ensuring that all information is precise and up-to-date following naming convention standards and revision controls.
- Controlled Document Distribution: Ensure that controlled copies of the latest approved documents and drawings are provided to appropriate staff, sub-contractors, and suppliers as needed, maintaining project efficiency and compliance.
- Document Transmittals: Issue and receive controlled documentation, log issues and receipts, and generate electronic transmittals for the project team, customers, and suppliers to ensure seamless communication and document flow.
- Deliverables Tracking: Assist the document control team in tracking the issue, receipt, and monitoring of all engineering and supplier deliverables from initial issue through to project close-out and handover to operations.
- Content Management System Oversight: Actively contribute to the maintenance and endorsement of the corporate content management system, ensuring business continuity is upheld across all document management activities.
- Maintain Registers and Action Lists: Ensure the upkeep of accurate document registers, including action lists to track document-related tasks and deadlines effectively.
- Project Document Management Coordination: Assist in coordinating document management procedures across the project, ensuring that policies, protocols, and practices are adhered to consistently throughout the project's duration.
- Liaison and Communication: Act as the focal point for all document management matters, addressing queries and providing support to the project team, ensuring smooth communication between departments, sub-contractors, and suppliers.
Position Requirements
We are looking for someone with a strong understanding of document control processes, ideally in a construction environment. You will possess excellent organizational skills, the ability to manage multiple tasks simultaneously, and a keen attention to detail. Your ability to work independently or as part of a team will be essential for success in this role. You should also demonstrate the following:
- Proven experience in document control, ideally within the construction industry, with a solid understanding of document management processes and procedures.
- Familiarity with construction practices, standards, and regulations.
- Experience using document management systems, spreadsheets, databases, and job-specific software such as 4Project, or similar systems.
- Experience in setting up, managing, and using electronic document management systems (EDMS) to streamline document control processes.
- Ability to maintain clear, accurate, and up-to-date records, registers, and reports.
- Strong analytical and problem-solving skills, with the ability to manage and prioritize tasks in a fast-paced environment.
- Excellent verbal and written communication skills, with the ability to effectively interact with team members, sub-contractors, and suppliers.
